Travel Budget Calculator

TL;DR

A travel budget is the sum of flights, lodging, food, and other costs scaled to your trip length and group size, then split into total and per-person amounts so you can plan.

The formula is: Total = (flight × travelers) + (per-night lodging × nights) + (daily food per person × days × travelers) + (other per person × travelers).

Enter Trip Details

days
Total trip days that food cost applies to.
nights
Usually one less than days (e.g., 3 nights, 4 days).
people
Applies to flights, food, and other costs.
$
Multiplied by the number of travelers.
$
Whole-room rate, multiplied by nights.
$
Multiplied by days × travelers.
$
Transport, admission, shopping, contingency (per person).

Exchange rates, prices, and airfares change constantly, so results are estimates for reference only. We recommend setting aside an extra 10–15% of the total as a contingency fund.

How to use it

  1. Enter fixed costs — Enter fixed costs such as the round-trip flight (per person) and per-night lodging.
  2. Enter days and group size — Enter trip days, nights, and the number of travelers.
  3. Enter variable costs — Enter daily food per person and other costs (transport, admission, shopping).
  4. Review the result — Click Calculate to see a per-item breakdown with the total and per-person cost.

How travel costs are calculated, item by item

Travel costs split into expenses that scale with the number of travelers (flights, food, other) and expenses the group shares (lodging). This calculator takes the flight as a per-person figure and multiplies it by travelers, takes lodging as a per-night figure and multiplies it by nights, and takes food as a daily per-person figure and multiplies it by both days and travelers.

Travel cost items and their formulas

FlightsRound-trip, per personflight × travelers
LodgingPer night (whole room)per-night × nights
FoodDaily, per persondaily food × days × travelers
OtherPer personother × travelers

The per-person cost is the total divided by the number of travelers, and the average per day is the total divided by trip days. Looking at both tells you "how much this trip costs one person" and "how much you spend each day" at the same time, which helps you build a sense of your budget.

Frequently Asked Questions (FAQ)

How is a travel budget calculated?

Total trip cost = (flight per person × travelers) + (per-night lodging × nights) + (daily food per person × days × travelers) + (other cost per person × travelers). The per-person cost is the total divided by the number of travelers. This calculator adds it all up and returns the total and per-person amount automatically.

Is lodging entered per person or per room?

This calculator multiplies the per-night lodging rate (for the whole room) by the number of nights. So if your group shares one room, the cost rises only with nights, regardless of group size. If you book separate rooms per person, enter the per-night rate multiplied by the number of rooms.

How do I account for a contingency fund?

Include a contingency in the Other cost (transport, admission, shopping) field, or set aside an extra 10–15% of the total as a buffer. This covers exchange-rate swings, rising local prices, and unexpected spending.

How do I handle exchange rates?

This calculator totals everything in a single currency. If you planned your budget in a local currency, convert it using the exchange rate at the time of booking or exchange. Rates move constantly, so it is wise to leave a little headroom.
